Who we are

Beyond the Wild (“we”, “us”) is a conservation travel service arranging volunteering placements, internships and courses with independent conservation projects in South Africa.

For the purposes of the General Data Protection Regulation, we are the data controller for the personal information you give us through this website.

What we collect

When you submit an enquiry, we collect:

  • Your name, email address and phone number
  • Your age and country of residence
  • The experience you are interested in, and your intended arrival and departure dates
  • How you heard about us
  • Any background, experience or other information you choose to share in the free-text fields
  • Which page of our website you submitted the enquiry from

If you subscribe to our occasional email updates, we collect your email address only.

We do not ask for medical information, dietary requirements, passport details or payment card details through this website. If you share any of those with us later while arranging a placement, we handle them under the same terms set out here, and we do not store payment card details at any point.

Why we collect it

Purpose Lawful basis
Replying to your enquiry and arranging a placement Taking steps at your request before entering a contract
Sharing your details with the conservation project so they can confirm availability and prepare for your arrival Performance of a contract
Sending occasional email updates about dates and availability Consent, which you can withdraw at any time
Keeping records of enquiries and bookings Our legitimate interests in running the service, and our legal obligations

Who we share it with

We share your details with the conservation project you are applying to, so they can confirm availability, plan logistics and prepare for your stay. This means your personal data is transferred to South Africa, which is outside the European Economic Area and has not received an adequacy decision from the European Commission.

We make this transfer because it is necessary to perform the contract between you and us: we cannot arrange your placement without passing your details to the project that will host you. We share only what the project genuinely needs, and we are putting standard contractual clauses in place with the project to formalise how your data is protected once it reaches them.

We also rely on the following service providers, who process data on our behalf:

  • Our website host and email provider, for storing and sending messages
  • Formidable Forms, which stores enquiry submissions within our own website database
  • Google Analytics, for anonymous statistics about how the site is used

We do not sell your data and we do not share it with advertisers.

How long we keep it

Enquiries that do not lead to a booking: 24 months, in case you come back to us.
Booking records: 6 years, which covers the period in which a claim could be brought.
Newsletter subscriptions: until you unsubscribe.

Your rights

Under GDPR you have the right to:

  • Ask for a copy of the personal data we hold about you
  • Have inaccurate data corrected
  • Ask us to delete your data, where we have no overriding reason to keep it
  • Object to or restrict how we use it
  • Ask us to transfer your data to another provider
  • Withdraw consent for marketing emails at any time

Email hello@beyondthewildexperiences.com and we will respond within one month.

If you are unhappy with how we have handled your data, you can complain to the Irish Data Protection Commission at dataprotection.ie.
